Summary:

Are you a great communicator and perhaps you’ve even been told you would be great at sales?  If so, the position of Senior Manager, Adoptions Promotions may be just the right fit for you.

Reporting to the Director, Administration, the Senior Manager, Adoptions Promotions (the Senior Manager) promotes ASPCA animals for adoption and serves as “air traffic control” and “stage manager” for all internal and external events including media and public relations events at the Adoption Center and Kitten Nursery. The manager will partner closely with our Communications and Membership Marketing & Content Strategy teams to see that the ASPCA Adoption Center and the animals are promoted online and via various media channels. You’ll lead the process for developing creative animal profiles to help the animals find their perfect human matches. And you’ll assist the Communications team in the successful implementation of the Adoption Center’s communications to internal and external audiences. Other duties include content development for the Adoption Center and maintaining and elevating inter-team communication at the Adoption Center

You’ll be part of a high-performing team working in a fast-paced, dynamic environment providing care for +/- 3,000 at-risk pets per year in a role that champions and works with cats and dogs equally and enthusiastically. 

The Adoption Center provides shelter and adoption for five groups of animals:  

  • Animal victims of cruelty and neglect brought to us by the NYPD  
  • Animals brought to us through our community engagement team 
  • Underage kittens and other medically compromised stray animals    
  • Animals surrendered by their owners   
  • Animals transferred in from shelter/rescue partners 

To succeed in this role, the Senior Manager must work efficiently and effectively in a team environment with the ability to take direction from multiple individuals, work on tight deadlines and be able to work independently when needed, taking full ownership of assigned projects through to successful completion.

Responsibilities:

Responsibilities include but are not limited to:

Adoption Center Promotions (50%)

  • Lead the development of creative, accurate profiles of adoptable animals by writing animal bios according to the Animal Placement Marketing Guide and coordinating with the Multimedia team, direct care staff, foster caregivers and volunteers to obtain photo and video assets for use in promotion; update profiles regularly to maintain accuracy and generate interest; handle dogs ranging from Level 1 to Staff Only for photos.
  • Serve as the point-person for Adopets, the Adoption Center’s remote adoption and online animal listings system. Ensure all animals are synching with the system correctly (including managing all returns), keep Adoption Center team members apprised of updates to the system, coordinate with the external Adopets team on any questions or issues that arise, and maintain up-to-date auto replies that inform adopters of their status in the adoption process.
  • In tandem with teams including External Communications, Membership, Internal Communications and more, design, implement and lead promotional campaigns for the Adoption Center and its adoptable animals
  • Oversee the effective use of a promotions budget to run promotional and marketing campaigns that drive impact for the Adoption Center and its animals.
  • Capture compelling content of animals at the Adoption Center and at off-site events, as needed, for social media promotions, PetPoint/kennel card photos, online web listings, and more.
  • Attend Medical-Behavior-Sheltering (MBS) Rounds, acting as the “promotions voice” in animal pathway discussions contributing to faster placement; act as key voice in Adoption Center leadership conversations
  • Act as primary manager of the ASPCA NY Foster Network Facebook group, crosschecking all member requests in CiviCore, accepting and declining members as appropriate, managing content creation and the content calendar, and responding to member questions in a timely manner. In addition; moderate all content in the group and escalate any issues to Adoption Center leadership.
  • Create, manage, and update kennel cards using PetPoint’s Kennel Card Builder to fit the Adoption Center’s changing needs
  • Moderate the Adoption Center’s Yelp and Google Reviews, elevating concerning reviews to Adoption Center leadership when necessary.
  • Track and analyze all media-related data at the Adoption Center to provide operational awareness, find areas for improvement and celebrate successes
  • Act as project manager for various communications and marketing-related projects.

Interdepartmental Communications (30%)

  • Adoption Center & Kitten Nursery
    • Lead and facilitate internal and external departmental communications at the Adoption Center; define appropriate usage for various communications channels including email, Workplace and Workplace Chat; troubleshoot and conceptualize new solutions as necessary to fit the Adoption Center’s changing communications needs.
    • Assist Adoption Center Managers, Sr. Managers, Directors and VP with copywriting and editing emails, internal memos, Workplace posts and more, as needed, to achieve maximum impact.
    • Track and catalogue all “happy tails” received by the Adoption Center and provide relevant content for presentations and events as needed
    • Act as Admin of the Adoption Center & Kitten Nursery Workplace group, adding, deleting, and approving content and members.
    • Conceptualize and create departmental content that promotes employee wellness and engagement; track engagement and participation, modifying plans and activities to achieve maximum impact
    • Assist with logistics and manage promotion for employee events and meetings; create and analyze data from feedback surveys to continually build impact and engagement
  • Traditional Media, Influencer/Celebrity, & Membership
    • Sharpen the department’s voice to internal and external audiences by working with the External Communications and Membership teams to create and approve talking points, online content, b-roll and more; ensure content is accurate and being used in the appropriate places to maximize impact.
    • Oversee all media-related items within the Adoption Center, including but not limited to coordinating and leading weekly Adoptions Media meetings and collaborating with members of the External Communications and Membership teams in vetting, planning, scheduling and executing Adoption Center-related media and public relations events and promotions; coordinate all animal-related logistics for media events at the Adoption Center and Kitten Nursery including but not limited to enlisting animal handlers, delegating animal selection to appropriate teams, securing space and working seamlessly with the Facilities team
    • Act as the primary spokesperson for adoption-related media inquiries on social media, broadcast, internet, digital, print and more. When appropriate, support External Communications in identifying and securing Adoption Center expert(s) such as Behavior Specialists, Matchmaking Managers or Foster Managers for media spokesperson opportunities.
    • Manage all web-related content for the Adoption Center; work hand-in-hand with the Membership team on Adoption Center content strategy.
    • Provide feedback on how to respond to Adoption Center-related social media messages.

  • Philanthropy
    • Coordinate and conduct VIP tours of the Adoption Center for board members, partners, corporate sponsors and donors.
    • Provide Adoption Center content for quarterly donor reports.
  • ASPCApro
    • Act as project manager between ASPCApro, Shelter Services and the Adoption Center and Kitten Nursery in creating content for the animal welfare field
    • Lead the discussion around difficult-to-place animals in Facebook groups; post unique articles or pieces of interest, create a two-way dialogue between the Adoption Center and the field, and contribute answers to other posters’ questions.

Identifying and Sharing Best Practices (20%)

  • Develop and execute annual do, learn, share strategy. Lead and facilitate the process of identifying and creating key content (best practices, tools and resources, etc.) to distribute to the animal welfare field
  • Identify content on the ground and work with subject matter experts to build the content to where it is valuable for the field at large; work seamlessly with the ASPCApro and Shelter Services teams to generalize Adoption Center & Kitten Nursery content for shelters of various sizes and available resources
  • Identify appropriate internal and external avenues for distribution of key content, including internal and external channels

Education:

  • BA, BS or equivalent

Additional Information:

  • The role will be based out of our NYC Adoption Center
  • Must be able to travel in and around the NYC metro area as needed
  • Occasional evening, weekend and holiday work required
  • Must be comfortable around animals

Qualifications:

Ability or willingness to learn how to handle cats and dogs., Ability to develop and maintain positive and productive working relationships with co-workers, volunteers and the public, Ability to understand the ASPCA’s mission, strategy, programs, policies, and values, Ability to work comfortably and calmly around cats and dogs with varying medical and behavioral needs., Ability to work rapidly and meet deadlines under pressure, Computer, Internet, and social media savvy, Excellent oral and written communication skills; strong creative writing, Experience interfacing with external vendors a plus, Experience with project planning, event planning a plus, Knowledge of and experience with social media, Must be well-organized and have the ability to prioritize and juggle various tasks, Previous experience in a shelter environment preferred, Some animal handling skills preferred, Team player with excellent interpersonal skills

3 years marketing/communications experience, Experience in public speaking, PR a plus, willingness to speak in public required, Minimum 3 years working in a professional setting
